Deectra

Private Limited · Plank

Alphtec built Plank for Deectra — one set of books for a company with a large, continuous flow of cash and bank. Quotations, site spend, invoices, GST, vendors, salaries and the accounts they sit in can be opened as the same figure.

A large flow, already in motion

Deectra Private Limited runs interior and project work — design, site, furniture, and the costs that follow a job. Cash and bank move every day: a vendor on site, a client bill, a salary, a GST line, a transfer between accounts. The volume is ordinary for the business. It is not ordinary for a pack of sheets.

The team already knew the numbers. The numbers did not yet have to agree. A quotation lived in one place. Spend lived in another. The invoice, the vendor bill, the salary, and the bank balance were finished — they were not yet required to name the same job.

They needed a custom accounts desk behind that flow: every movement with a from, a to, and a reason; approvals before a figure sat on the books; invoices and GST from the same desk that saw the cost; a report the next person could open without reconstructing the month.

A week in this kind of business

Many small movements — cash, UPI, a vendor, a transfer.

A few large ones — a client bill, a salary run, a job close.

How money moves

Interior and project work does not wait for month-end. A quotation goes out. Cost lands on the job. A vendor is paid in cash or on the bank. A client is billed. GST has to follow the same invoice. Salary is due whether the site is quiet or not. Plank is the desk that keeps that sequence as one record.

  1. Quotation

A figure the client can read before anyone is on site — scope, terms, the job it belongs to.

  2. Spend on the job

Cash, UPI, bank, card, or cheque. From whom, to whom, and why. Unbilled until it is meant to be billed.

  3. Approval

Volume is not a licence. A movement can wait until someone who is allowed to write the books accepts it.

  4. Invoice and GST

The bill and the tax line are raised from the same desk that saw the cost — not reconstructed in a return later.

  5. Where it sits

Bank accounts, cash, cards. Income and outgo this month, against last, without exporting a pack.

What has to stay sorted

A company of this kind is not one invoice a week. It is many small movements and a few large ones, in cash and on the bank, attached to jobs, people, and accounts. Plank is built so that volume does not become a second unofficial set of books.

    Whether it still adds up

Money in motion

Every movement is a record, not a cell in a sheet.

  • From whom, to whom, and why — named, not guessed later.
  • How it moved: cash, UPI, bank, card, cheque, or a transfer between accounts.
  • Whether it is still unbilled, waiting, invoiced, or paid.
  • Two sides of a transfer stay linked, so cash leaving one account is the same money arriving in another.
  • A bill or a note can sit on the entry. Historical books can be brought across without retyping a year.

Who may write the books

Large flow is only manageable if not everyone can change the figure.

  • A movement can wait for approval before it is on the ledger.
  • Roles decide who may enter, who may accept, and who may only read.
  • What is waiting has a person — not a thread in a group chat.
  • The desk can tell the team when a salary, a bill, or an approval is due.
  1. Enter

Someone on site or at the desk writes a movement.

  2. Approve

Someone allowed to write the books accepts it.

  3. Read

The rest of the team can see the same figure.

Bills, tax, and the job

The commercial paper and the cost have to name the same work.

  • A quotation is the figure before site — kept, versioned, and tied to the job.
  • A client invoice is raised from the same desk that saw the spend.
  • GST is summarised from those invoices, not rebuilt in a side return.
  • Payment notes sit with the money they explain.
  • A vendor invoice can wait in the open until it is paid — not lost in a mailbox.
  1. 01

    Quote

    Before site.

  2. 02

    Spend

    On the job.

  3. 03

    Invoice

    With GST.

  4. 04

    Bank

    The same figure.

Where the money sits

Cash and bank are both first-class. This business uses both.

  • Accounts for cash, bank, and cards — balances that move when the ledger moves.
  • Income and outgo this month, against the last, on the same desk.
  • Budgets so a category can be watched before it quietly overruns.
  • Recurring outgo — tools, rent, services — so a subscription is not rediscovered at renewal.
  • Assets and lending, so what the company holds and what it owes are not a second pack.

People the money is tied to

Vendors and the team are part of the books, not a side list.

  • A vendor directory the spend and the bill can name.
  • Employees, salary, and attendance — payroll is a movement on the same ledger.
  • Classification — who is the company, who is outside, what kind of cost — so reports still mean something when the volume is high.

Whether it still adds up

A large flow is only safe if last month cannot be quietly rewritten.

  • A sealed period stays sealed. A correction is a named act, with a reason.
  • Discrepancies are a queue, not a surprise at audit.
  • Reports and an export when someone outside the desk needs the same truth.
  • The next person can open the books in the middle of a week and see what is live.

What that does to a busy week

  1. Dr

    The site and the vendor

Cost is on the job the morning it is paid. Cash and bank are both written. Nothing waits for someone to ‘put it in the sheet tonight’.

  2. Cr

    The client and the tax

The invoice and the GST line come from the same record. Accounts is not reconstructing a bill from chat.

  3. Bal

    The company

Salary, subscriptions, a transfer between accounts, a sealed month. One desk. The unofficial pack does not grow beside it.

The unofficial pack

Accurate enough — until two people need the same figure.

One set of books

The join is on the record. The next person can open it.

Before Plank, each of those was finishable. People who knew the work held the join in their heads. That is a strength until the volume is high enough that two people need the same figure on the same afternoon — and one of them is on site.

After Plank, the join is on the record. A quotation can become spend. Spend can become an invoice. An invoice can be read against the bank. A salary is due on the same ledger. A month that has been closed stays closed. The business can take a large flow of cash and bank without the books becoming a second job.

After Plank

The work was already being finished. The money was already moving. What we needed was one desk that could hold that volume without a second unofficial set of books.

This review describes the public shape of Plank. How it is wired, and the live figures, stay with Deectra. No extract from their books is published here.

Alphtec built Plank for Deectra as that desk. It is an internal accounts application for how this company already spends, bills, and pays — not a generic bookkeeping product they had to fit, and not a spreadsheet with a nicer coat.

What can be said in public: money in, money out, and where it sits are one record. Quotations, invoices, GST, vendors, salaries, bank accounts, budgets, and reports hang off that record. Who may enter a figure, who may approve it, and who may only read it is decided on the desk. The rest of how Plank is wired stays with Deectra.

If the cash is moving faster than the books,

Bring the quotation, the vendor bill, the salary, and the bank figure that do not match. That is enough to start.
